Privacy Policy

Information you give us. Your email address; your name, date of birth, sex, mailing address, phone number, and employer; your insurance details (insurer, plan, member and group numbers) and photos of your insurance card; your typed signature; details about family members and pets you file for; and the documents you send us.

Health information. Bills and statements contain health information: who received care, when, from whom, diagnosis and procedure codes, and amounts. We collect it only to prepare and submit your claims.

Payment information. Stripe collects your card details directly. We receive only whether a payment succeeded, the amount, and a reference number. We never see or store your full card number.

Usage information. Which pages you visit and buttons you use, your browser and device type, and your IP address. Our analytics hide page text and form fields, strip personal details from page addresses, and don’t record your screen.

• To prepare, sign (as you authorize), submit, and follow up on your claims.
• To show you estimates and the status of each claim.
• To email you sign-in codes, questions about a claim, and updates.
• To take payment and issue refunds.
• To keep accounts secure and prevent fraud and abuse, including limiting repeated sign-in attempts.
• To understand how ClaimChief is used, test changes such as different prices, and improve the service.

We use AI to read your documents and card photos, pull out the details a claim needs, and check them for common mistakes. Our staff review every claim before it’s submitted.

Your documents are sent to our AI provider only to perform this work. Under our agreement with them, they may not use your information to train their models.

Your insurer. Sharing your claim with your insurer is the point of ClaimChief. We send only what that claim needs.

Service providers who help us run ClaimChief, under contracts that limit their use of your information to providing services to us:

• Vercel, hosts the app and stores uploaded files
• Neon, hosts our database
• Anthropic, AI that reads your documents and fills in claim details
• Mailgun, sends and receives email, including bills you forward
• Lob, prints and mails paper claims to insurers
• Stripe, processes payments
• PostHog, product analytics

When the law requires it, such as a valid subpoena or court order, or to protect someone’s safety or prevent fraud. If ClaimChief is sold or merged, your information may transfer to the new owner, who must keep honoring this policy.

We don’t sell your information, and we don’t share it for advertising. We don’t use your health information to market to you.

HIPAA applies to health plans, health care providers, and companies working on their behalf. ClaimChief works for you, not for your insurer or your providers, so in most cases HIPAA doesn’t apply to us directly. We still treat your health information as sensitive, and handle it as this policy describes.

• All traffic to ClaimChief is encrypted (HTTPS).
• Uploaded files are kept in private storage. They can only be opened through short-lived links issued after we check who you are.
• Only staff who process claims can see claim details, and sign-in requires a code sent to your email.
• We limit repeated sign-in attempts and uploads to slow down attacks.

We keep your information while your account is open, so you can see your claims and we can follow up with insurers. If you close your account, we delete your documents and profile within 30 days. We keep payment records, and the minimum claim records needed to answer insurer questions or meet legal obligations, for as long as the law requires.

You can view and update your profile and insurance details in your account at any time. You can also ask us to:

• send you a copy of the information we hold about you;
• correct anything that’s wrong;
• delete your account and information, subject to the records described above.

Email support@claimchief.ai from the address on your account. We’ll respond within 30 days. Depending on where you live (for example California, Washington, Colorado, or Virginia), state law may give you additional rights. We honor them, and we won’t treat you differently for using them.

We use a cookie to keep you signed in, a cookie that remembers which version of our pricing you’ve been shown, and analytics cookies to count visits and understand how the site is used. We don’t use advertising cookies. Analytics cookies are optional: choose Decline under Cookie settings at the bottom of our home page, or use your browser’s Global Privacy Control or Do Not Track setting, and we won’t set them or send analytics. You can change your choice there at any time. You can block cookies in your browser, but you’ll need the sign-in cookie to use your account.

ClaimChief accounts are for adults. Parents and guardians may file claims for their children’s care, and that information is handled as described here. We don’t knowingly let anyone under 18 open an account.

If we change this policy in a way that matters, we’ll email you or tell you in the app before the change takes effect. Questions or requests: support@claimchief.ai.
